1. Start Early.
Planning a family reunion is a big undertaking, so be sure to give yourself enough time. Attendees may need to request vacation time from work and some may need to save money to afford the trip. You also need time to research accommodations, caterers, etc. The earlier you start, the better off you'll be.
2. Enlist Help.
Don't try planning the entire event yourself. There's a lot of upfront work involved to plan the perfect get-together. Involve people from different areas of the family. Survey your family members and ask for volunteers to help you with the planning process. Delegate your planning tasks to several family members and the stress of planning such a big event will be lessened.
3. Stick to Your Date.
Choosing the date to host your family reunion could be the most difficult decision you have to make. Before choosing the date, check for any conflicts already set such as weddings, graduations and milestone birthdays or anniversaries. Once you pick a date, you need to stick to it. You're going to have some people that can't attend, but that's okay. If you are continuously trying to change the date to please everyone, you aren't going to get anything else done.
4. Get a Head Count.
Once your date and location have been chosen, it's time to start looking into accommodations. Many resorts and condos offer group discounts for these types of events. You'll need to get a head count to determine availability and pricing. Choose several possible locations, get the pricing and availability, and then present it to the group. Keep a budget in mind as some members of your family could be tight on money and you want everyone to have the opportunity to attend. You'll also need a head count if you choose to cater any meals or do any group activities.
5. Plan Activities & Downtime.
While it's good to plan some group activities that everyone can enjoy, it's also good to include some downtime. Spending too much time around family you don't see that often can get exhausting and a break could be nice. For many, this family reunion could be the only vacation they take this year. Possibly have a list of optional activities you've researched and let each individual family do a few things on their own if they wish. Make sure you include activities for every age.
